Privacy Policy
Last updated: August 24, 2026
Solution Hippo, LLC (“SolutionHippo,” “we,” “us,” or “our”) has provided managed WordPress hosting and support. This Privacy Policy explains what personal information we collect, how we use and share it, how long we keep it, and the choices and rights you have. It applies to our websites (including solutionhippo.com), the SolutionHippo dashboard, and the hosting and support services we provide (together, the “Services”).
Controller and Processor — Two Different Roles
We wear two hats, and the distinction matters for your rights:
- We are the controller of the information we collect to run our business — for example, your account, billing, and support information, and the technical logs our servers generate. This policy governs how we handle that information.
- We are a processor for the content and personal data inside the websites we host for you. That data belongs to you (and to the visitors and customers of your site). You are the controller of it; we process it only to provide hosting, backups, and support, and only on your instructions. How that data is handled is governed by your own privacy policy and by our Data Processing Addendum.
Information We Collect
- Account and billing information you give us: name, business name, email, phone, postal and billing address, and the payment details you enter to purchase Services. We do not store full card numbers; card payments are handled by our payment processor (see below).
- Site data we host on your behalf: the files, databases, media, and any personal data contained in the WordPress sites we host for you. We hold this as your processor and do not use it for our own purposes.
- Server and access logs: technical data generated automatically when the Services are used, such as IP addresses, request URLs, timestamps, user-agent strings, referrers, and error and security events. We use these to operate, secure, and troubleshoot the platform.
- Support communications: the messages, tickets, and chat you send us, and our replies.
- Website and cookie data: information collected through cookies and similar technologies when you visit our own websites (see “Cookies and Analytics” below).
Cookies and Analytics
Our websites use strictly necessary cookies to keep you signed in and to keep the site secure, and may use analytics cookies to understand how the site is used so we can improve it. You can control or block cookies through your browser settings; blocking strictly necessary cookies may stop parts of the dashboard from working. We honor recognized browser-level opt-out signals, such as Global Privacy Control, where required by law.
How We Use Information
- To provide, maintain, secure, and improve the Services, including hosting, backups, monitoring, and support.
- To process payments, send invoices and receipts, and manage renewals and cancellations.
- To respond to your requests and provide customer support.
- To detect, prevent, and respond to fraud, abuse, security incidents, and technical problems.
- To send you service and account notices, and — only where permitted — occasional product news you can opt out of at any time.
- To comply with our legal obligations and enforce our agreements.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
Service Providers (Subprocessors)
We rely on a small, carefully chosen set of service providers to deliver the Services. Each is bound by contract to protect your information and to use it only to provide services to us. Our primary providers are:
- Cloudflare — content delivery, DNS, and web application firewall / security edge.
- Managed server infrastructure — server provisioning and management tooling for the hosting platform.
- Stripe — payment processing. Your card details are provided directly to Stripe and are handled under Stripe’s own security and privacy terms.
- SendGrid — delivery of transactional and account email.
- Encrypted, immutable off-site backup storage — off-site storage of website backups, held redundantly across multiple independent providers.
We may also disclose information when required by law, to respond to lawful requests from public authorities, to protect the rights, property, or safety of SolutionHippo, our clients, or the public, or in connection with a merger, acquisition, or sale of assets (in which case we will notify affected clients).
How Long We Keep Information
- Account and billing records: kept for the life of your account and afterward for as long as needed to meet tax, accounting, and legal requirements.
- Website backups: retained on a rolling 90-day schedule. When a backup ages past 90 days it is permanently deleted; when you offboard, your backups age out and are deleted on the same schedule unless a longer period is required by law.
- Server and security logs: kept for a limited period for operations and security, then deleted or aggregated.
- Hosted site data: kept for as long as we host the site for you; after offboarding it is removed from active servers, with backups aging out as above.
Your Rights (GDPR / UK GDPR)
If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the right to access the personal data we hold about you; to have it corrected or erased; to restrict or object to how we process it; to receive it in a portable format; and to withdraw consent where we rely on it. To exercise these rights, email support@solutionhippo.com. You also have the right to complain to your local data protection authority. Where the personal data is inside a website we host for a client, we act as processor and will refer your request to that client (the controller) and assist them in responding.
Your Rights (California / CCPA and CPRA)
If you are a California resident, you have the right to know what personal information we collect and how we use and disclose it; to request access to and deletion of that information; to correct inaccurate information; and to opt out of the sale or sharing of personal information. We do not sell or share personal information, so there is nothing to opt out of, but the right remains available to you. We will not discriminate against you for exercising any of these rights. To make a request, email support@solutionhippo.com; we will verify your identity before responding.
International Data Transfers
SolutionHippo is based in the United States, and information we process may be stored and handled there and in other countries where our service providers operate. Where we transfer personal data out of the EEA, the United Kingdom, or Switzerland, we rely on lawful transfer mechanisms such as the European Commission’s Standard Contractual Clauses, together with additional safeguards where appropriate.
How We Protect Your Information
We apply layered, defense-in-depth security: encryption of data in transit and of backups at rest, strict internal access controls, a managed web application firewall and intrusion detection at the edge, continuous monitoring with automated recovery, and off-site, encrypted backups held redundantly with two independent providers. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security, but we work continuously to protect the information entrusted to us.
Data Breach Notification
If we become aware of a security breach affecting your personal data, we will notify you without undue delay and, where we act as your processor, will assist you in meeting your own notification obligations. We will provide the information you need to respond, including the nature of the incident, the data involved, and the steps we are taking. Where the law requires it — for example, notice to a supervisory authority within 72 hours under the GDPR — we will act within the applicable timeframe.
Children’s Privacy
The Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you by email or through the dashboard. Your continued use of the Services after an update means you accept the revised policy.
